Tradeshow Coordinator


The Tradeshow Coordinator is responsible for managing and executing Champion Petfoods’ tradeshows. The Tradeshow Coordinator is responsible for the logistics and planning of 15+ national and international tradeshows and will work closely with team members to ensure that tradeshows are delivered in accordance with show outcomes and Champion Petfood’s overall marketing strategies.

Duties and Responsibilities:

Manage planning and coordination for 15+ regional and international tradeshows.

Handle contracting and logistics for all exhibit and materials shipping.

Handle all travel arrangements for the Sales and Marketing teams as well as clients as needed.

Identify internal and external resources needed to create a successful trade show and event.

Work with the Marketing team to create and monitor event timelines and schedules for event deliverables.

Manage and track the tradeshow budget, including tracking expenses and reporting on actual vs. budgeted.

Ensure all tradeshow paperwork is complete, accurate, and submitted on time.

Manage event collateral; this includes preparing and managing critical paths, writing project and creative briefs, plan development, managing budgets, and execution of projects.

Work with the Events & Promotions team to manage and maintain tradeshow and marketing inventory.

Coordinate pre- and post-event operations and logistics, including contracts, event staffing, and developing and maintaining relationships with suppliers and vendors (e.g. tradeshow staff, booth production vendors, A/V, staffing firms).

Manage and execute event set-up and tear down included pre- and post-event, quality checking of show pieces.

Coordinate customer and distributor feedback on events, training and product.

Update Marketing Events calendar.

Manage details for multiple events simultaneously.

Track and measure the effectiveness of tradeshows by gathering feedback, conducting interviews and surveys, and creating post mortems. Consistently measure and qualify results, and incorporate learnings into future tradeshows and events.

Work with the Marketing team to review trade show objectives, key messages, booth layout and elements.

Source and manage new tradeshow exhibit pieces and repair existing elements as needed.

Education and Requirements:

Ability to prioritize multiple projects while still maintaining accuracy and strong attention to detail

Ability to develop strong working relationships with customers, marketing and sales representatives, other colleagues in the industry and staff in order to achieve results

Flexibility to respond to competing program responsibilities and the ability to negotiate unanticipated changes and needs quickly and smoothly

Ability to work as a member of a team and be flexible in undertaking a variety of duties that will contribute to the success of the organization

Ability to manage expense budgets and track expenses

5 years of tradeshow and event experience

Related experience in event management in a continuing education, hospitality, or project management environment with a focus on event planning

Comfort in providing basic audio-visual support/troubleshooting

Excellent verbal and written skills in English

Experience with social media and other digital marketing tools an asset

Experience with budget plans, invoicing and payments

Strong Knowledge of Microsoft Office applications

Ability to work long hours during peak periods, including but not limited to, some evenings and weekends as dictated by tradeshow schedule

Excellent communication and interpersonal skills

Capable of manual labor (booth set-up and tear-down), walking and standing for long periods of time

Valid driver’s license and passport.

Some travel is required
